What workflows does the Oracle EBS integration support?

The Oracle EBS integration covers core financial, procurement, and master data workflows (for parts, part transfers, and vendors).

What direction does data flow in the Oracle EBS integration?

It varies by workflow. Parts and Vendors sync one-way from Oracle EBS into MaintainX, since Oracle is the system of record for both. Purchase Requisitions (PRs) are bidirectional: created in MaintainX, converted to Oracle PRs, with status and line item updates flowing back as Oracle processes them. Inventory adjustments (work order consumption, cycle counts, restocks, manual edits) and part transfers sync one-way from MaintainX to Oracle. Work order cost postings (parts consumption and service item PRs) flow from MaintainX to Oracle on completion.

What middleware does the Oracle EBS integration use, and will I need to purchase or host anything?

The integration runs on Workato, fully hosted by MaintainX — you don't need a separate Workato subscription or infrastructure. MaintainX manages the recipes, connections, error handling, and monitoring.

Can new parts added to MaintainX generate Purchase Requisitions or transfers in Oracle EBS?

Yes, but a few Oracle reference fields need to be populated on the part first. Most of these sync in automatically when the item is created in Oracle (Item ID, Item Number, Issue Unit). A small number of fields (Order Unit, Order Quantity, Suggested Vendor) require manual entry after the initial sync before the part is ready to generate a Purchase Requisition, transfer, or auto-reorder.

How are Purchase Orders created in MaintainX reflected in Oracle EBS?

Once a Purchase Order is approved in MaintainX, it is automatically converted into an Oracle Purchase Requisition, including any unit-of-measure conversion needed to match Oracle's ordering units. From there, Oracle manages its own requisition approval, PO creation, and receiving process, and status updates flow back into MaintainX automatically. Auto-reorder PRs are batched and grouped by vendor at end-of-day for consolidated purchasing.

How do Part Transfers work between sites?

Part Transfers are created and fulfilled in MaintainX. When a transfer is fulfilled, the integration posts the transaction to Oracle EBS automatically. The Oracle record type (Inter-Org Transfer or Subinventory Transfer) is selected based on a configurable Org Code mapping table. If the source and destination sites share the same Oracle Org Code, it posts as a Sub-inventory Transfer. If they map to different Org Codes, it posts as an Inter-Org Transfer. No user input is needed to select the type.

What happens to Work Order costs in Oracle?

When a Work Order is completed with parts consumed, the integration posts an Account Issue to Oracle for each consumed part, routed to the GL account associated with the Work Order's Asset (with the WO's Location as a fallback). Service items and zero-minimum-stock parts auto-generate Purchase Requisitions that flow to Oracle. If a Work Order is reopened, the prior consumption is reversed in Oracle automatically and reposted on the next close.

What Oracle-side configuration is required?

The specifics depend on your Oracle environment and the workflows in scope. At minimum, Oracle REST API access or custom PL/SQL interfaces will need to be enabled for the integration to read and write data. An Oracle DBA or functional admin should be available during the scoping and configuration phases to set up the required API access, user accounts, and any custom objects. MaintainX provides detailed technical requirements during the discovery phase.
