Overview
The Oracle Fusion integration keeps maintenance data and financial systems in sync, giving finance and operations a single source of truth for maintenance activity, parts inventory, and procurement. It eliminates manual data entry, gives you real-time cost visibility in Oracle Fusion Cloud, stops the need to reconcile parts and inventory across two systems, and lets you move from work order to purchase order to receipt without leaving MaintainX.
Custom integration, built and managed by MaintainX.
Key features
- Costs associated with a completed Work Order (parts, labor, additional charges) sync to Oracle as journal entries, giving finance real-time visibility by asset, location, cost center, or any other Oracle dimension
- Cycle counts, manual restocks, and inventory corrections in MaintainX post to Oracle as inventory transactions
- Parts consumed on Work Orders auto-deduct from Oracle inventory, with finanical impact posted to the right GL accounts
- Purchase Orders created in MaintainX generate matching POs or requisitions in Oracle, with the Oracle PO number written back
- Status changes, buyer modifications, and receipts flow back to MaintainX in real-time; receiving items in MaintainX creates a Goods Receipt in Oracle
- Vendors created or updated in Oracle Fusion Cloud sync to MaintainX, filtered by your criteria (category, custom field, or subsidiary) to identify maintenance-relevant vendors
- Assets and hierarchies in Oracle sync to MaintainX, which becomes the operational hub while Oracle stays the system of record
- Oracle inventory items sync to MaintainX as Parts, keeping quantity, cost, and location aligned — no separate parts catalog needed
- Locations and cost centers map from Oracle to MaintainX Organizations and Locations, aligning maintenance activity with your financal structure
- Need something else?
- Custom workflows are available, including integration with Oracle's Fixed Assets, Project Costing, advanced GL dimension mapping, multi-org/multi-ledger support, and IoT and meter reading integration.
How it works
1. Contact us
Book a tour or contact your Account Manager.
2. Scope the integration
Every business operates differently, and so do its systems. That’s why we work with your team to define requirements, scope the project, and design integrations that fit your workflows—ensuring the final solution meets your needs.
3. Review SOW & quote
A detailed Statement of Work (SOW) and cost estimate will be provided before configuration begins.
4. Configuration & testing
We’ll build, test, and validate integration flows in a staging environment before go-live.
5. Go live & support
After deployment, we provide ongoing support to ensure the integration runs smoothly.
Requirements
- Must have an Oracle Fusion Cloud ERP subscription.
- Must have MaintainX's Enterprise Plan.
FAQs
I'm interested in the Oracle Fusion Cloud integration, what should I do first?
This integration is designed and managed by MaintainX to fit your systems and workflows. Book a tour with a product expert or contact your Account Manager for next steps.
What middleware does the Oracle Fusion Cloud integration use, and will I need to purchase or host anything?
The integration runs on Workato, fully hosted by MaintainX — you don't need a separate Workato subscription or infrastructure. Authentication uses OAuth 2.0 to Oracle Fusion Cloud, and real-time syncing relies on webhooks from MaintainX combined with Oracle Integration Cloud events or scheduled polling from Oracle, depending on the workflow.
Does this work with Oracle Fusion Cloud SaaS or only on-premise Oracle systems?
This integration is built for Oracle Fusion Cloud (SaaS). We connect via Oracle's REST APIs and Oracle Integration Cloud where applicable. For on-premise Oracle EBS or other Oracle products, we offer separate integrations. Ask your Account Manager or contact us to discuss your specific environment.
How is authentication handled and what does MaintainX see or store from our Oracle environment?
Authentication uses OAuth 2.0. Your Oracle team creates an OAuth application registration for MaintainX and provides the credentials during setup. MaintainX never stores Oracle passwords. Data flows through the integration in real-time and is only persisted where required for cross-reference (e.g., Oracle Item IDs stored as custom fields on MaintainX Parts to enable idempotent sync).
How does this handle our multi-org, multi-legal-entity Oracle setup?
Multi-org support is included as part of the integration design. Your MaintainX Organizations map to Oracle Business Units, Legal Entities, or Ledgers based on your operational structure. For complex intercompany scenarios or advanced dimension mapping, our Multi-Org / Multi-Ledger add-on module provides additional configurability.
What happens if the integration fails or encounters an error?
All integration activity is logged in Workato with full error visibility. Failed transactions are logged with the specific reason (validation error, API timeout, missing reference data, etc.), and designated contacts on your team receive email notifications. Automatic retry logic handles transient errors, and MaintainX support engineers monitor integration health as part of your ongoing support agreement.
Can the integration be modified to match our specific Oracle configuration?
Yes. This is one of the primary advantages of using Workato as the middleware. Field mappings, custom fields, dimension logic, and workflow variations can be built to match your Oracle environment during the design phase. This is what differentiates our integration from off-the-shelf connectors that force you to fit their model.
What is the initial data load process?
At go-live, we perform an initial seeding of master data (Assets, Parts, Vendors, Locations) from Oracle Fusion Cloud into MaintainX. Existing records are matched by external ID or name where possible, and any mismatches are flagged for manual review before the integration is fully activated.
Is there ongoing support after go-live?
Yes. All MaintainX integration customers receive dedicated ongoing support including proactive monitoring, incident response, and access to our integrations team for any changes or expansions. Support is included as part of your annual integration subscription.
