What's New at MaintainX: August 2026

This month's releases in MaintainX are about giving your team more control with less manual work. From smarter PM scheduling to clearer inventory limits, August welcomes several platform improvements that help you manage work more easily at scale.

Here's what's new in MaintainX for August.

Give preventive maintenance a dedicated planning layer

Most industrial equipment runs on more than one maintenance schedule, with weekly, monthly, and annual checks often needed on the same asset.

Managing these separately to keep your plans intact can be challenging at scale. It requires constant monitoring to catch overlapping work orders and ensure the right work is done at the right time.

MaintainX’s new Maintenance Plans feature puts every PM cycle for an asset in one place to help you manage this complexity. By separating the plan from the generated work orders, you can modify recurrence rules and defaults without touching what's already underway.

And for assets with overlapping cycles, Nested PMs let you define them all in one plan — for example, an air compressor's weekly, monthly, quarterly, and annual PMs, each building on the last and generated automatically.

This allows you to:

• Consolidate multiple frequencies (like monthly, quarterly, and annual) into a single structured plan on one asset
• Generate work orders weeks in advance, without waiting for others in the cycle to close
• Update your plan’s recurrence and defaults safely, without touching work orders already in progress
• Use permissions to ensure certain users can edit work orders without changing the foundational plan
• Prevent delayed work from affecting when the next occurrence is scheduled for

Set the right reorder ceiling with Maximum Quantity

Running an efficient parts inventory isn’t just about keeping parts in stock. It’s also about carrying the right amount to keep operations running without overspending or leaving redundant parts on the shelf.

Our new Maximum Quantity feature supports lean inventory practices by setting a ceiling for how many of the same parts you want to keep on hand.

It allows you to:

• Set an upper limit for stock and order quantities on any part
• Let purchase orders auto-populate the right amount — no manual math required
• Migrate an existing custom field into the new field in one step

Sync data more easily with External Identifiers

When your ERP or other external system syncs data into MaintainX, keeping both sides in sync has meant extra steps: search MaintainX for the matching record, grab its ID, then decide whether to create or update. Skip a step, and you could end up with a duplicate.

Now you can store your own system's ID — your SAP part number, for example — directly on the matching MaintainX record. From there, your integration creates or updates that record in a single API call, using the ID it already has.

What this means for you:

• One API call handles both creates and updates
• Fewer duplicate records, even if a sync runs before a lookup would have caught a match
• Faster, simpler integrations for teams connecting SAP, Oracle, Infor, and other systems

External Identifiers start with Parts, with support for Assets, Locations, Work Orders, and more coming in the following weeks. It's available to all customers with API access.

No changes are needed for existing integrations. New integrations can be built using our API documentation.

Manage your automations faster with new bulk tools

We also released some quality-of-life improvements to help you manage your Automations.

This round of updates removes friction, allowing you to:

• Auto-select meters where an Asset only has one meter
• Scan and compare Automations quickly on a table view
• Filter your automations list by asset or meter to zero in on the one you need
• Enable, disable, or delete multiple automations at once instead of one at a time

Automations allow you to set up usage-based and condition-based maintenance, which help you trigger the right work at the right time and reduce your PM costs.

Find what you need faster with the new navigation

As MaintainX has grown, so has the list of things you can do inside it. Finding the right page meant scanning a long, flat list that didn't always make it obvious where to look first.

Navigation now groups everything under three sections: Work, Optimize, and Manage. Work orders, requests, and other daily tasks sit together. Reporting and planning tools sit together. Settings and administration sit together. Nothing has moved out of reach, and nothing has been renamed — it's just organized around how you actually use it.
