While teams can’t control commodity prices, tariffs, or shipping delays, how parts are tracked and allocated internally are factors they can control.

See what parts are actually committed, not just in stock

With Part Statuses, you can see exactly where every part stands, from assigned to issued.

Once a part is Reserved, it’s committed to that work order and no longer available to others. This ensures other jobs can't accidentally claim the same inventory. Without this visibility, the same parts can get set aside for multiple jobs at once, only to be discovered when someone reaches an empty shelf.

When a part is Issued, the technician has it in hand and the system automatically decrements the stock in real time. No more waiting until a work order closes to update inventory numbers.

Now if two work orders both need the same pump seal and only one is in stock, the system reflects that before anyone walks to the storeroom. The planner sees the conflict. The clerk knows what to prepare. The technician knows what to expect.

Confirm part availability before work begins

Knowing what's committed is only half the picture. The other half is knowing whether a specific work order is actually ready to execute, before a technician is dispatched.

Part Availability tells you if a work order is actually ready to start. Each work order has a clear readiness signal: Available, Partial, or Unavailable.

Planners can pull up only the jobs that are ready to go. Technicians can check before they ever walk to the storeroom or the site.

Let’s look at why this is so important in practice. Imagine you’re a planner building next week's work schedule. There are three work orders competing for the last bearing in stock. With MaintainX, the conflict is flagged. Instead of finding out on the shop floor, the planner sees which jobs are competing, makes the priority call, and reserves accordingly, keeping the right work moving without the last-minute scramble.

Traditional inventory tools show what you have. They don’t tell you what you can start or help you prioritize when inventory is limited. That gap is exactly what Part Availability closes.

Get the full picture for any part

Too many parts decisions come down to gut feel. You know a part keeps running out. You don't know why. You don't know which work orders are consuming it, what's already on order, or how much is actually available versus set aside.

The new Part Insights tab, available on every part record, helps answer all of that in one place. You see your inventory position at a glance: how much is In Stock, how much is Committed, whether you're Overcommitted, and what's On Order. You see which work orders are actively using or reserving that part. And you see which jobs have consumed the part over time.
