Our latest updates make it easier to collect valuable context in the format you need—and share it with anyone, even if they don’t have a MaintainX login.

When everyone’s better informed—from the production floor up to company leadership—it’s easier to make decisions that drive the business forward.

Let’s take a closer look at what’s new.

Share live insights with External Dashboards

Need to share up-to-date reporting data with teams, leadership, or third parties outside of MaintainX? Now you can—instantly.

External Dashboards allow you to generate read-only links to your custom dashboards, which can be opened in any web browser without requiring a login. It’s the easiest way to display real-time metrics on factory floor screens, share performance reports with vendors, or give stakeholders access to KPIs.

Sharing dashboards helps to drive alignment across your organization—and beyond.

Administrators can activate, deactivate, or reset links anytime, and control which dashboards are shareable across the organization. It’s available on our Essential, Premium and Enterprise plans.

Add asset context to your Request Portals

Request Portals just got smarter. On our Premium and Enterprise plans, you can now include Assets and Locations as selectable or pre-set fields in your portals—making it easier for requesters to provide the information your team needs to act fast.

Whether you want to show a full asset list, restrict options by location, or automatically assign incoming requests to a specific machine or area, you now have the flexibility to build request forms that match your workflows.

This update helps you capture the data you need, improves response times, and ensures requests land exactly where they belong.

Require comments when Work Orders change status

Empowering your team to create, update and manage Work Orders shouldn’t cost you visibility and control.

To make sure every step is documented as it should be, you can now require comments any time a Work Order is put on hold, cancelled, or skipped.

This small but powerful enhancement gives you more control over documentation quality, accountability, and audit readiness.

To configure, head to your Organization Settings, hit Features and then Work Orders.
