We’re always looking for ways to extend MaintainX’s capabilities to make maintenance and operations management easier for our users. That’s why we’re so excited to announce our new integration partnership with Zapier!

What’s Zapier?

Zapier is a tool that allows you to easily create integrations between apps in a matter of minutes, all without writing a single line of code. With over 1,000 apps already available and new apps added every week, Zapier is a powerful one-stop resource for connecting your favorite tools.

A Zap consists of a trigger on one side and an action on the other. When it’s turned on, it will perform the action every time the trigger occurs.

With MaintainX, you can set up custom triggers both inbound and outbound that will perform a specific action with another software tool. 

If you’ve ever been wondering if MaintainX is able to integrate with another software that you’re using for business needs, the answer might be relatively simple! Through our direct integration with Zapier, you’ll be able to do exactly this. Zapier allows for integrations with a whole catalog of 2000+ applications. 

Example Use Cases

Request Portal with Google Forms – Connect a Google Form with Zapier to generate a new Work Request in MaintainX with each new submission.

Quickbooks Invoices – Create an invoice automatically from MaintainX using our Work Order Category Change to trigger the Zap.

Work Requests via Email – Setup a Zapier that triggers when an email comes in to generate a Work Request or Work Order.

MaintainX Zapier Triggers

We currently have a few triggers (A trigger is an event that starts a Zap. Once you’ve set up a Zap, Zapier will monitor for that trigger event) that you can directly interface with the software of your choosing, these are:

Work Order Status Change – Triggers when a status changes on a work order.

New Work Order – Triggers when a new work order is created.

Work Order Category Change – Triggers when a work order category change is made.

Utilizing triggers will allow you to set-up automated actions, an example of this is when a work order status changes, you could have it automate an email through a Gmail integration. 

MaintainX Zapier Actions

MaintainX also supports Zap Actions (An action is a job your Zap performs when your trigger event occurs). Our actions include:

Create Work Request – Creates Work Request based on a Trigger Step

Create Work Order – Creates Work Order based on a Trigger Step

Create New Message – Creates New Message based on a Trigger Step

Before You Begin

You must create a Zapier account to get started. Zapier offers a free plan that allows ‘2-step’ Zaps but requires a Premium plan to create Multi-Step Zaps. Many useful Zaps with MaintainX can be created with 2 steps.

Setting up the MaintainX Zapier integrations requires you to have a MaintainX API token, which is only available with our Premium and Enterprise plans. The MaintainX Zapier integration is available here: https://zapier.com/apps/maintainx/integrations
