What’s New at MaintainX: May 2026

From tracing equipment failures through to standardizing your response, this month’s updates to MaintainX close gaps across the entire maintenance lifecycle.

Highlights include more scalable and flexible Automations, Sub Work Orders for managing more complex jobs, and AI-powered Procedure Recommendations that help your team follow the right steps.

Attach the right steps every time with AI Procedure Recommendations

When work gets created without a procedure attached, you can’t be sure it was executed in the right way. But as things move fast on the shop floor, it’s easy to miss this step.

AI Procedure Recommendations makes it easy to attach the right procedure at the exact moment a work order is created. It searches your existing procedure library, surfacing the most relevant options based on the work order title, description, and attached asset.

And if you don’t have a relevant procedure yet, you can build one from a simple prompt and/or reference file using the AI Procedure Generator.

AI Procedure Recommendations is available on Enterprise (with CoPilot).

Automate maintenance with more flexibility and scale

Automations allow you to trigger the right work at the right time using signals from your equipment. But setting them up at scale was time-consuming—and they didn’t always fit the nuances of your operation.

Our latest release brings four new enhancements to Automations, helping you streamline setup and apply more precise conditions.

Including:

  • Multi-Asset Automations. Define one automation rule and apply it to multiple assets at once, saving you time across multiple similar assets.
  • Trigger Requests, not just Work Orders. Trigger a work request instead of a work order when conditions are met, so your team can triage and schedule work intentionally.
  • New Asset Status and weekday conditions. Fire automations only on certain days of the week, or when an asset is in a specific status.

Multi-Asset Automations are available on Premium and above. The new conditions and actions are available on the Enterprise plan. Learn more about Automations in our Help Center.

Track failures more easily by linking them to work orders

Root Cause Analysis (RCA) is most valuable when it’s directly tied to the work that triggered the investigation. Without that connection, teams spend time manually cross-referencing reports with work orders to try and get the full story behind a failure.

You can now link each RCA report directly to the work order that triggered it. This enables your team to track failures with full operational context, helping them take smarter, faster action.

Updates to RCA include:

  • Two-way navigation that allows you to jump from the RCA to the work order, and from the WO’s new “Root Cause Analysis” section back to any linked RCAs
  • Work orders linked automatically when Root Cause Analysis reports are triggered from within the work order
  • Labor and wrench time pulled automatically from the linked WO into the RCA repair time field

Streamline related Sub-Work Orders

Managing groups of related work orders can be cumbersome, even with search and filter options.

Sub-Work Orders enhances the Multi-Asset Work Orders feature to improve how your team creates and manages grouped work.

Including:

  • Create Sub-Work Orders for multiple assets, the same asset, or no asset at all
  • Better bulk editing tools and a cleaner search and filter experience throughout
