This procedure ensures hot work is properly permitted, documented, and safely closed out with a completed fire watch on every job.
Hot Work Permit "How-to" Training Procedure
This procedure provides a step-by-step checklist for initiating, completing, and documenting hot work using MaintainX and the physical hot work permit, from setting up the work order through posting the permit at the job site, completing fire watch, and filing the closed-out paperwork.
Log on or begin a work order for hot work. this is done by setting the "Category" as "Hot Work". This allows MaintainX to sort through all work orders that have involved hot work
Go to the Maintenance LDM area to get a BLANK Hot work permit carbon copy (left box).
Complete the initial fill out of the Hot Work Permit. The hot work permit sheet is a carbon copy that transfers across all sheets. ensure that ALL applicable fields and checkboxes are filled out. the only boxes that should be left blank are the fire watch boxes for after work has been completed.
The last (3rd) page of a hot work permit is a contact sheet. This is required to be posted at the area the hot work is being performed in case there are any issues until fire watch has been completed and the work has been closed out.
Complete any hot work during the shift. If you cannot complete in that shift, another permit will be required for the next shift starting this process over.
Before during and after work is completed a fire watch MUST be done. Even if the job is not 100% complete, any hot work done must have a completed fire watch before the permit can be closed out. Designate a fire watch person and make sure it is done based on the fire risk. After the hot work has been confirmed cooled/dissipated, complete the form.
In the "Comments" section of the work order, take pictures of the hot work permit using a mobile device and add them to the work order before closing out. This will ensure that if we need to look up the how work later it is easily possible to tie it to a work order.
The middle-right file Dropbox is for completed hot work permit forms. It is the safety managers duty to log these forms after they have been completed. this Dropbox is where they are stored so they can be picked up and taken for logging.
