First of the Month Process for ARM Reports

NOTE

• For readable barcodes use 8-10 characters. Utilize leading zeros to keep it around 8 characters. With that in mind, if an employee’s code is 225 for example, a good barcode would be 00000225. If the code is 11550, a good barcode would be 00011550.

• If there is a missing barcode for an item with a name, go ahead and skip it

Step 1: Clean up Employee ID's

• In order for the Fastpass reports to work properly, the names of the items in the shared -> employee ID’s folder all need to be the OBJID of the employee the item is assigned to. Once a month we need to update these names before running the reports.

Process

• 1) Open the CSAS Tasks repo

• 2) Run the employee_id_update.py script

• 3) This should open Site Manager, navigate to the correct report category and begin to update the names there.

Old Process

• 1) Log into Site Manager on the Rep Server

• 2) Go to Setup -> Sale Items, Categories & Reports -> Items and Barcodes

• 3) Go to report category Shared -> Employee ID's

• 4) Scroll to the bottom of the list until you see employee names and click on one

• 5) Notice the barcode assigned to the employee

• 6) Confirm that the name and the note value of the item match

• A) If they don't, you can confirm which employee the ID item is for in step 9

• 7) Open SWODB

• 8) Run the following query, where xyz is the digits after the leading 0's on the employee's barcode.

• A) select * from v_employee where code=xyz

• 9) Verify the employee that appears is the same as the one you have highlighted in Site Manager

• A) If it is, continue to step 10

• B) If it's not, find the correct employee by running the following query, where Lname is the employee's last name from Site Manager.

• ~Select * from v-employee where lastname=’l_name’

• C) When you find the correct employee in SWODB, change the barcode in Site Manager to their code*, let Nick K know to reprint that employee's card, and continue on to step 10.

• 10) Copy the OBJID of the employee in SWODB into the name field on the employee ID item in Site Manager

• 11) Save and repeat for every employee item that has a name instead of an OBJID as its name.

The Recharge Report consists of two scripts: run.py and export.py

• Run is the gather that can be run as frequently as desired and updates the bank table in the MySQL DB with the data from the SiteWatch DB.

• Export combines the info from employee, and bank to show a more human readable report and exports the csv to the netserver.

• As long as the pc where the script is being executed has DSN's for the SiteWatch DB and the Bank DB (CSAS-SQL) and has x86 Python we can execute the gather for this report.

• Note: The recharge report codebase was changed from PHP to Python in Q2 2021

Process

• 1) Log into CSAS-SQL

• 2) Open Pycharm

• 3) Open the Tasks repository

• 4) Navigate to C:\git\Tasks\Home\Reports\Recharge\

• 5) Open the run.py file and check TODO's

• 6) When ready, execute run.py

• A) Reminder: You have to use x86 python to connect to the firebird DB

• 7) When complete, open export.py and check TODO's

• 8) When ready, execute export.py

• A) The file dump out here: \\NETSERVER\IT-Department\Documents\Web Reports\FastPass Sales Reports\csv

• 9) Navigate to \\NETSERVER\IT-Department\Documents\Web Reports\FastPass Sales Reports and duplicate the >le from last month and rename YY-MM-recharge-report.xlsx

• 10) Open your new file

• 11) Duplicate the most recent tab

• 12) Copy the contents of the csv file created by export.py into the table

• 13) Scroll to the bottom and delete any extra records that may have been left over

• 14) Update the formulae in columns M and O to look at the previous month

• 15) Save the file as this will be the one, we want to send the Ops team.

Process

• 1) Log into DRB-RPWL

• 2) Open Sublime Text as administrator

• 3) Update the date under the TODO and Manual Override in C:\Tasks\Home\Reports\Status\updatePrevMonth.php

• 4) Update the sites list in C:\Tasks\Resources\Sites.php if necessary

• 5) Run cmd as admin

• 6) Cd to C:\Tasks\Home\Reports\Status\

• 7) Then run "C:\Program Files (x86)\PHP\v7.3.4\php.exe" updatePrevMonth.php

• 8) You can monitor the progress of this script in the logs under C:\Tasks\Home\Reports\Status\Log

• 9) Once it's done, log back into CSAS-SQL

• 10) Open Pycharm

• 11) Open the Tasks repository

• 12) Navigate to C:\git\Tasks\Home\Reports\Status\

• 13) Open export.py and check TODO's

• 14) When ready, execute export.py

• A) The >le will dump out here: \\NETSERVER\IT-Department\Documents\Web Reports\Unlimited Status Reports\csv

• 15) Navigate to \\NETSERVER\IT-Department\Documents\Web Reports\Unlimited Status Reports\Reconcile Sheets and duplicate the >le from last month and rename Reconcile-Sheet-YY- MM.xlsx

• 16) Open your new file

• 17) Copy the contents of the csv file created by export.py into the last sheet of the new file

• 18) Double check to make sure that everything matches up and no new sites need added to the sheets.

• 19) Save the file as this will be the one, we want to send the Ops team.

Steps

• 1) Find the email thread subject: Fastpass Recharge and Status Reports

• 2) Copy the message from last month

• 3) Reply all

• 4) Update the message with appropriate content for the month the reports are for

• 5) Attach files

• 6) Triple check

• 7) Send to everyone!

Tidying Up

• If you made any major changes to the files in C:\Tasks or D:\webroot\rewards\htdocs, make sure to update the repo’s on Github.
